[Version 3.0 EN] Pro-Rated Leave Setting and Pro-Rate Calculator
- Pro-rated leave settings can only be configured through the website.
- Ensure the pro-rate toggle is activated before registering employees in the system.
- Only employees newly registered in the system will have their leave automatically pro-rated.
To set up pro-rated leave in the employee settings, HR/Admin can follow these steps:
Step 1: Click “System Setting”
Step 2: Click “Leave”
Step 3: Go to the annual leave type (“Annual Leave”) and click “Update”
Step 4: Enable the “Pro-rated” toggle
Step 5: Click “Type of prorate” and select the prorate method used by your company.
- Earned Leave: (Annual Leave ÷ 12 months) × Remaining months
- Daily (Full Entitlement): (Annual Leave ÷ 365 days) × Number of working days
- Monthly (Full Entitlement): (Annual Leave ÷ 12 months) × Remaining months
Step 6: Click “Method of rounding” and select the rounding method used by your company.
Step 7: Click “Save”
You have now successfully updated pro-rated leave settings in the System Setting!

Note: This tool is for calculation purposes only. The values generated will not be automatically applied to the employee’s leave policy.
Step 1: Click on the System Setting menu
Step 2: Under Settings, select Leave
Step 3: In the Leave Policy section, choose Annual Leave and click Details
Step 4: Then click the Pro Rate Calculator button
1. Earned Leave (Accumulated Leave)
Leave is accrued monthly based on the number of full months worked.
Formula:
(Annual Entitlement ÷ 12) × Number of Months Worked
Best if leave should be earned progressively.
2. Daily (Full Entitlement)
Leave entitlement is calculated based on the total working days in a year.
Formula:
(Annual Entitlement ÷ 365) × Number of Working Days
More accurate for contract or short-term staff.
3. Monthly (Full Entitlement)
Full monthly entitlement is granted regardless of the start date within the month.
Formula:
(Annual Entitlement ÷ 12) × Remaining Months
Commonly used when the company prefers a simple monthly calculation.
Under the Malaysian Employment Act 1955, there is no specific provision for decimal rounding of leave. However, in practice, most companies round up to the nearest full day when the decimal is 0.5 or higher. For example:
- 11.6667 days → 12 days
- 11.4 days → 11 days
This approach ensures fairness and consistency, especially when calculating leave entitlements for new joiners or resigning employees.
